Meet Kawthar and Rumaila Supply Services
Rumaila Supply Services supplies spare parts, consumables, protective equipment and chemicals to oilfield maintenance contractors around Basra. Its central warehouse in the Shuaiba industrial area holds about 4,800 items worth around 6.2 billion dinars.
Last quarter a crude-oil transfer pump stood idle for two days because a seal kit could not be found, although the system showed four in stock. The general manager, Mr. Majid, appointed Kawthar, an industrial engineer, as warehouse manager. She works with Dhurgham, a storekeeper with 18 years' experience, Jasim in receiving, Salim the forklift operator, Ms. Rehab from procurement and Mr. Talib from finance.

What is stores management?
A store keeps materials from the moment they are bought or made until someone needs them. Stores (warehouse) management plans, organises and controls receiving, keeping, protecting and issuing those materials, in the right quantity and quality, at the lowest reasonable cost.
It has two core duties:
- Holding materials in an orderly way, so each item can be found and issued quickly.
- Preserving them from damage, loss, theft and expiry until they are issued.
ما إدارة المخازن؟
المخزن يحفظ المواد منذ لحظة شرائها أو صنعها حتى يحتاجها أحد. وإدارة المخازن (المستودعات) تخطط عمليات استلام هذه المواد وحفظها وحمايتها وصرفها وتنظمها وتراقبها، بالكمية والجودة الصحيحتين وبأقل تكلفة معقولة.
ولها مهمتان أساسيتان:
- الاحتفاظ بالمواد بطريقة منظمة ليُعثر على كل صنف ويُصرف بسرعة.
- المحافظة عليها من التلف والفقدان والسرقة وانتهاء الصلاحية حتى صرفها.
Stock is money on a shelf
Holding stock costs money every year: the cash tied up, space, staff, insurance, damage, theft and items that expire or become obsolete. Many studies put this holding cost at about 20–30% of the stock value per year.
المخزون مالٌ على الرف
الاحتفاظ بالمخزون يكلّف مالاً كل سنة: النقد المجمّد والمساحة والموظفون والتأمين والتلف والسرقة والأصناف التي تنتهي صلاحيتها أو تتقادم. وتقدّر دراسات كثيرة تكلفة الاحتفاظ هذه بنحو 20–30% من قيمة المخزون سنوياً.
Types of stores
Most companies have more than one type. Rumaila has a covered main warehouse, a fenced chemical store, an open pipe yard and a small air-conditioned room for electronics and sealants.

لدى معظم الشركات أكثر من نوع. فلدى الرميلة مستودع رئيسي مسقوف، ومخزن كيمياويات مسيّج، وساحة مكشوفة للأنابيب، وغرفة صغيرة مكيفة للإلكترونيات ومواد الإحكام.

The daily responsibilities of a store
- Receive and inspect every delivery before it enters stock.
- Put each item in its own coded location.
- Issue only against an approved request, and record it at once.
- Protect items from damage, heat, moisture, theft and expiry.
- Keep stock cards or the system balance true at all times.
- Watch levels and tell purchasing when an item reaches its reorder point.
- Count stock regularly and investigate differences.
- Keep the store clean, safe and secure.
- Report regularly on levels, slow movers and performance.
المسؤوليات اليومية للمخزن
- استلام كل توريد وفحصه قبل دخوله المخزون.
- وضع كل صنف في موقعه المرمّز الخاص به.
- الصرف فقط بموجب طلب معتمد وتسجيله فوراً.
- حماية الأصناف من التلف والحرارة والرطوبة والسرقة وانتهاء الصلاحية.
- إبقاء بطاقات الأصناف أو رصيد النظام صحيحة دائماً.
- مراقبة المستويات وإبلاغ المشتريات حين يبلغ الصنف نقطة إعادة الطلب.
- جرد المخزون بانتظام والتحقيق في الفروق.
- إبقاء المخزن نظيفاً وآمناً ومحمياً.
- رفع التقارير بانتظام عن المستويات والمواد الراكدة والأداء.
